Hybrid Chat-Bot FAQs

FAQ

Why is it called a chat-bot?

The name comes from the words "chatter" and "robot".

Which type of chat-bot is this?

This is a hybrid, conversational-style chat-bot with general knowledge about everything and specific knowledge related to your particular company or business, which can guide prospective clients on your web site, assist them with inquiries about your products, offer them information on your line of business and also gather information from them that can be used to follow up or reach out to them.

Why is it called "hybrid"?

Some bot types, such as that of ChatGPT, are conversational agents and cannot be trained by you. They are trained by Machine Learning engineers in general topics, but you cannot ask them anything related to your business (such as where you are located, or which products you offer) unless you tell them to go and research your web site. Hybrid chat-bots can also learn and remember things that you teach them, aside from what they can find out on their own.

Can I train this chat-bot myself?

No, we will do it for you because, even if you have the knowledge to do that, you won't have access to the bot code or to the administration pages. If you feel really inclined to do something like that, better try to learn how to build your bot from scratch so you can then have total control over it.

How much will it cost me?

You pay $198 at the time of the order, regardless of the subscription you choose afterwards. That will cover the initial set-up, the bot service and the initial training for the first month. If you are happy with what you got, we will start then billing you $99 per month (Starter Plan) for as long as you keep the chat-bot in service. You can save $198 by choosing the annual subscription, in which case you will only pay $990 (10 months x $99) at the end of the first month, for the next 12 months of service. If you decide that you need more features, you can upgrade to a bigger plan.

Am I getting a good deal?

Yes, you are getting a very good deal. You will not find anything nearly close for less than twice the amount we're offering it for. We are software developers who work hands-on with these bots, A.I. agents and language models. While we have at times provided discounted software, we have never sold any AI-integrated chat-bot at this price, so take advantage of this amazing opportunity while it lasts.

Could I get it "for free" anywhere ?

No, not even us, software developers, get it for free. There is always a lot of research, development, plus testing and support involved. Unfortunately, anything of value that you can find in this life will cost you money or some effort...just take a look at the cost of the water we drink, which supposedly falls free from the sky.

Can I build a chat-bot myself?

Sure. If you're into coding and have some free time, you can learn about the technology watching YouTube videos and learning some Python and Javascript languages along with it. Once you have a working code, start testing the code under different scenarios and, if all goes fine, you just completed most of the software development life cycle. You're just missing deployment and then, maintenance...two separate beasts of their own.

Can I cancel the subscription?

Yes, once you have a subscription, you can cancel at any time by sending an email to support@fluxtrac.com, but the bot will continue to operate until the end of the billing cycle, unless you ask us to turn it off by the end of the same day when you cancel. You won't get any prorated refund, we just won't charge you on the next billing cycle. The same goes for the annual subscription.

How does it work after we place the order?

Once your order is complete, we will contact you within 24 hours via phone or email. We will then use your business information and any other additional information you can provide us with to create and train a chat-bot in our servers. After that, we will provide you with a line of code that you will insert into your web site code and if all goes well, the chat-bot will show up within seconds on your site. You will need to have administrative access to your web site (i.e. URL link, user and password) to be able to insert the code. If you have the administrative access, but you don't know how, or don't want to mess with code, we will do that for you at no extra charge.

You advertise a phone on this web site. Can we call that number for support if we need to?

We use that number mainly for sales or emergencies, because if everyone starts calling that number with questions, we will have to sell the bot for twice as much just to cover the expenses. That's why we offer free support via email.

Can a see a demo of the chat-bot you're selling?

Yes, right on this page, it should be on the lower right corner. This is the same chat-bot you will be getting, so start by asking it some questions, and you'll get an idea.

Can I see a demo with my business information?

No. Training the bot with your company information will require time, sometimes various days to get it right. But as soon as you place the order, we will provide you with your bot code, and if you cannot install it right away, we will set it up on a test web site so you can start interacting with it as we train it. You can, simultaneously, place the bot code we gave you on your web site once you know how to access it.

What happens if I don't have a web site?

For a web site you will need to register a domain name (i.e. your-business-name.com) which will cost you around $15 per year for a .com, .net or .org type of domain. Then you will need to pay for web hosting, which comes to around $70 per year, and finally someone will need to design a web site for you; or you can do it yourself, if you know how. If you cannot do any of that, we can do the whole thing (including a basic 3-page site) for around $500 for the first year. After that, you will need to advertise it (i.e. Google or Facebook campaign, business cards, word of mouth, etc) before you can get any traffic to justify the expense of getting a chat-bot on the web site.

Can I change the information the chat-bot provides?

After the initial set-up, we can retrain the same bot with newer information once a month, but we advise you to do it only for the same line of business you originally had. In other words, it is not advisable to mix different businesses (i.e. your property management business along with your lawn-mowing company) because you will confuse your prospects; but you're always free to try anything you want.

How can I provide the information you are going to need to trade the bot on?

You can send TXT, DOC, ODF, RTF or PDF files via email to us. We will give you some hints as to what to write and how to do it so it's effective. There is this saying in information technology, which reads, "Garbage in, garbage out". That means that if you don't put any care in putting together or reading what you send us, that is the same information your clients and prospects are going to receive from the chat-bot. But we will help you get it right from the beginning, that is the main difference you will find in working with us versus with some other company.

Can I change the bot colors?

Sure, you can pick any color you want in HTML format, change the bot's name and also choose a small logo for the avatar and we will implement the changes for you. Please, do not request obscene words or pictures. I f you need to change your original choice, you get one more chance, after that, there will be a small charge for extra changes.

My business uses ten different physical sites. Can you train the bot on them, all?

Yes, as long as the information doesn't change from place to place and you provide us with the specifics for every place, we will train the bot on those. If you provide the ten addresses, we will teach the bot that the business consists of several locations and even specify and recommend specific ones.

I have five different web sites that advertise the same business. Can I use the same bot in every one of them?

Yes, you are free to place the bot code wherever you like. While we will help you set up the first web site at no extra charge, we can set up the remaining ones for a nominal fee, if you or your technical people are not able to do it.

How long before the bot will pay for itself?

If it helps you land just one client per month, it is already helping pay for itself, but it depends on the types of service or products you offer. If you sell, let's say, life insurance, and you sell one single policy, you just made enough to pay for the bot service for a full year.

Do I get unlimited messages and interactions?

With the Starter plan, you get two thousand messages (2,000) included with the bot service (about $20 worth) every month. If you use the chat-bot in the normal way of a regular business, you never need to worry about it. But if you have either too many locations feeding off the same chat-bot, or your business generates an unbelievable traffic, or you try to abuse the system, we will politely ask you to provide your own API key from OpenAI, so they can bill you directly for the extra use or we might bill you, instead, at 2 cents per message for the overage, but we will always keep an eye on the chat-bot and warn you in advance of any abnormal use.

What can a custom chat-bot do?

A custom chat-bot can provide automation. It can schedule events such as calls, meetings, installations, and even provide updates on order statuses by searching your databases. It can handle quotes or provide installation timelines, which will definitely enhance your customer experience. For handling quotes, the bot can gather necessary info like product specifications, materials, pricing and customer details to generate accurate estimates. For installation timelines, it can track your schedule and provide updates based on availability. You can communicate these details via email or SMS.

Can you build custom chat-bots?

Of course! If you're interested, we can start by identifying specific features you might want for your chat-bot and how we could help your business.

Can I resell the bot services to other businesses?

Yes, once you purchase a chat-bot from us, we will pay you a one-time $100 referral fee for any other new business you bring, after 30 days have passed from their original order. We require that you have, at least, some basic knowledge of what you're going to be selling to others, otherwise, we'll have to handle all of your prospects' misconceptions.

How big is your company?

Fluxtrac is a small company of about five people of which three are full-time programmers and the rest work in sales. Although we were founded in 2023 to write these custom web and mobile applications, we have extensive knowledge in most areas related to information technology and we have been working at it non-stop since 1992.

Why should I trust you?

Because, 1) you are a small business...same as we are, 2) we have what you need and we know it well, 3) you need to trust someone with experience to help you get your business ahead, 4) you are not risking much here, and finally, 5) you will have plenty of time to realize whether we're bringing value to your business or not.

Are the 2,000 chat-bot messages provided with the Starter package enough for a month?

It depends heavily on the intended use and scale of deployment. For a simple informational bot, designed for basic FAQs or lead capture such as this one we're offering with the Starter plan, with most conversations being just a few messages long, on a smaller business with a regular web site traffic, 2000 messages should be sufficient, but you will know within a week.

I have a Customer Service & Support business. Will this bot be useful to me?

It sure will, but you might need to purchase a larger package, such as the Standard, which comes with 8,000 messages, four times more than supplied in the Starter package. If the bot is used for Customer Service & Support, handling a significant volume of customer inquiries, with longer, more complex conversations, involving troubleshooting, detailed explanations, or multiple back and forths, for a high-traffic website or a very popular chat-bot you are going to need a bigger plan to handle all incoming conversations, but again, you will know in a week.

What can you do to reduce excessive messaging?

- Predefined limits are set, and once a threshold is reached (e.g., too many questions or a certain number of topic changes), the chat-bot's response behavior changes.
- Through gradual slowdown, instead of an abrupt stop, the chat-bot starts introducing delays in its responses, giving the user time to reconsider their actions.
- Ultimately, if the user's behavior continues, the chat-bot stops responding altogether or presents a message explaining the limitation.

Based on the chat-bot use cases, what is recommended to avoid overages?

- Consider your specific needs: Estimate your anticipated usage based on the bot's purpose, expected conversation length, and user volume.
- Start with a smaller plan: we start you up with a 2,000-message plan and you also get a copy of the chats, so you can monitor usage as we do.
- Use analytics to track usage...that's how we calculate your overage.

Are there any restrictions for any business?

There are some types of businesses that can create problems for everyone, and we don;t specifically pin-point any, but you probably know what we're talking about, so we will not train the chat-bot for some of those types. There is always a chance for exceptions, depending on the content, but we rather avoid controversial stuff, so we try to identify and prevent the hosting of illegal or harmful content, ensuring a safe and compliant environment for their users and the internet as a whole.
